KBN Fitness ("we," "us," or "our") operates the KBN Fitness gym management and member platform, including our website at https://kbn-fitness.fitplex.cybx.live and our KBN Fitness mobile application available for iOS and Android devices. KBN Fitness is powered by the Fitplex multi-tenant platform.

We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our mobile application, or visit our gym facility. Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access the application.

A. Personal Data

Demographic and personally identifiable information (such as your name, email address, physical address, PIN code, and telephone numbers) that you voluntarily give to us when you register with the Application, purchase a membership, or when you choose to participate in various activities related to the Application.

B. Fitness and Health Data

To help you track your fitness progress and ensure your safety during exercise, you may choose to provide fitness-related information, including height, weight, target weight, BMI, blood group, emergency contact details (name, relation, and phone number), and declarations regarding physical or health conditions.

C. Mobile Device Access and Permissions

We may request access or permission to certain features from your mobile device, including:

• Camera: Used exclusively to scan gym QR codes at our physical locations for class check-ins, attendance tracking, and to take profile photos directly in the app.
• Photo Library: Used to allow you to select and upload an existing photo to set as your account profile picture.
• Biometric Features: If you choose to enable local locking/biometric authentication (Face ID or Fingerprint lock) in the app, this authentication is processed entirely on-device by your operating system. KBN Fitness does not collect, store, or receive your biometric data.
• Push Notifications: We may request to send you push notifications regarding your membership status, bookings, workouts, and platform alerts. You can opt-out at any time in your device settings.

2. How We Use Your Information

Having accurate information about you allows us to provide you with a smooth, efficient, and customized experience. Specifically, we may use information collected about you via the Application to:

• Create and manage your member account and gym membership subscriptions.
• Log and track your physical attendance at our gym facilities via QR code check-ins.
• Process payments, issue invoices, and manage billing.
• Generate fitness metrics (such as BMI calculations and workout streaks).
• Ensure your physical safety during personal training by recording emergency contacts and health conditions.
• Administer promotional activities, events, and community features (like giving kudos to other gym members).
• Respond to support tickets and customer service requests.

3. Disclosure of Your Information

We do not sell, rent, or trade your personal information. We may share information we have collected about you in certain situations, including:

• Fitplex Platform Infrastructure: As a tenant on the Fitplex platform, your data is securely stored on Fitplex servers to power the gym software, mobile app API, and database services.
• By Law or to Protect Rights: If we believe the release of information about you is necessary to respond to legal process, to investigate or remedy potential violations of our policies, or to protect the rights, property, and safety of others.

4. Data Retention & Security

We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.

5. Your Rights & Account Deletion

You can review or change the information in your account at any time by logging into the mobile application and editing your profile. You may also request to delete your account and associated data:

• In-App Deletion: You can initiate account deletion directly in the KBN Fitness App by navigating to Profile > Settings > Delete Account.
• Manual Deletion Request: You can contact KBN Fitness support or email us to request that your account and all associated personal history be permanently deleted from our active databases.
